Executive assistant will be responsible for providing administrative support to ensure efficient operation of the office. Supports leadership through a variety of tasks related to organization and communication. Executive assistant is responsible for confidential and time-sensitive material.

Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Advertising agency experience is preferred but not required.

Essential Duties & Responsibilities

The core duties and responsibilities of an Executive Assistant at JAY revolve around supporting others. Their job duties and who they support may vary from day to day.  They may perform a variety of tasks, such as:

  • Answer and direct phone calls
  • Organize, plan and schedule meetings and appointments
  • Write and distribute email, letters and forms
  • Order office supplies as needed
  • Maintain contact lists
  • Book travel arrangements for executives and leadership
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaise with executives and agency leaders to handle requests and queries
  • Carry out other duties as necessary to perform function within state and federal regulations.
  • Personal errands and responsibilities for executives

Qualifications

  • High School degree: additional qualification as an Administrative Assistant or Secretary is a plus
  • Proven experience as an Executive Assistant, Administrative Assistant, or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Exceptional attention to detail and organization
  • Good listener
  • Team player – natural and effective communicator
  • Willingness to take on new opportunities

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
